We’ve all been there hosting a community event feeling disappointed and let down by the low response, turn out and participation! If you’re ready to start thinking and following through like an event coordinator, then read on for my “Top 5 Community Event Ready Tips”! Once you have your event ideas you are now ready for planning, follow through and execution. Follow these tips and you are sure to have happy residents, friends and employees.
1. Get Input From Your Residents
Before you even begin thinking about or developing community events get input from your residents! I can’t stress enough how much your residents love to have a voice, be part of the process and feel like their ideas matter. Ask them for ideas and you may be surprised by the suggestions and hey it’s about them right and not what sounds like fun to YOU!
2. Develop a Committee
By having a team or group of others including staff and residents part of the planning will help to assure all details are being carefully executed. With event planning having more ideas, task managers and a team on your side is a guarantee for a smooth event!
3. Have a Checklist
No event will ever go off with flying colors without an event checklist. Not only is it a great tool for reminders of what still needs to be done, but also sets accountability to who is responsible for making it happen! Work your check list months, weeks to days prior to the event and follow through with your committee often. Great ideas need executed and follow through will do just this.
4. Communicate, Communicate, Communicate
You’ve got your idea, committee and now a check list. Next you need to spread the word. Make it BIG from flyers, newsletters, signage, create an event on Facebook and invite fans and fans friends, to even invite local vendors to participate! The more the merrier and the goal is to get people talking about your event. This is how and why people show up…when they know it’s going to be fun and they can enjoy good times with friends and family!
5. Do It Right
You may not have a huge budget to work with for your events, but this does not mean you don’t do it right! Doing it right may mean developing partnerships with vendors for discounts or even sponsorships. Remember the more the merrier and the better the benefit to the resident and their friends means a BIGGER turnout and more people talking. Don’t just think of it as YOUR event, but an event all can benefit from. Make sure you do the leg work, go all out on decor, signage, etc and last but not least make it FUN. No one wants to attend an event where it’s lame, awkward or looks and feels put together last minute!! The more fun you have with it the more effort you will put in and the more excited your residents will be to attend!!
